How much does HVAC field service software cost?

The monthly subscription is only part of the price. User limits, annual prepayment, add-on products, payment processing, and the number of people who need access can change the real cost considerably.

Research checked November 6, 2026 · Prices shown in USD · Vendor pricing can change.

Quick takeaway: For a solo HVAC operator, Jobber and Housecall Pro publish low entry prices. For a team with many users, Service Fusion's unlimited-user pricing may be worth comparing. FieldPulse uses customized seat-based pricing; optional premium products may add cost. Confirm the final offer in writing.

What should an HVAC contractor compare?

1. Scheduling and dispatch

Check whether dispatchers can see technician availability, move jobs quickly, assign work by skill or territory, and communicate schedule changes. Ask whether route optimization is included in the plan or sold separately.

2. Estimates, invoices, and payments

Confirm whether estimates can be converted into jobs and invoices without re-entering information. Ask for the full card-processing and bank-payment fees, deposit timing, and any separate payment-platform charges.

3. Technician and office access

Count every person who needs to use the system: technicians, dispatchers, office administrators, managers, and owners. A low advertised price for one user may not represent the cost of running a real team.

4. HVAC-specific workflows

Ask vendors to demonstrate recurring maintenance agreements, equipment and service history, memberships, estimates for replacement work, job costing, and follow-up reminders. Do not assume a feature is included because it appears in a product overview; ask which plan includes it.

5. Contract and implementation costs

Get a written breakdown of subscription fees, required seats, onboarding, data migration, add-ons, payment processing, contract length, renewal terms, and cancellation. Compare the first-year cash outlay—not only the monthly equivalent.

Which platform is worth shortlisting?

Jobber

Worth examining for a solo operator who wants a published entry tier and core job-management tools. Its plans scale by team size and feature tier, so check the appropriate user count rather than comparing only the one-user Core price.

Housecall Pro

Worth examining for home-service businesses that want scheduling, dispatch, estimates, invoicing, and payments in one system. The published Essentials tier includes five users; compare its included workflows with the extra cost of higher tiers.

Service Fusion

Worth examining when several employees need logins. Unlimited users can make the flat-rate model easier to budget, but the annual discount requires a substantial upfront payment. Compare the monthly plan if cash flow matters more than the discount.

FieldPulse

Worth examining when role-based access is important. Its current pricing page describes a custom seat-based quote, with a set number of seats purchased upfront for the contract term. Optional premium products may add cost. Request a written quote that separates core seats, add-ons, and contract commitments.

Important limitation: Contractor Software Finder has not independently hands-on tested these products. This guide summarizes vendor-published information and provides buying questions; it is not a claim that one platform is universally best.
